Import & Distribution

National Import & Distribution to Wholesalers in All 50 States
USA Wine West’s primary goal is to provide top-notch wine importation services, which enable foreign and domestic wineries to reach wholesalers in all 50 states and Canada. Whether the terms are FOB US warehouse, ex-cellar, or FOB foreign port, our job is to provide a compliant national solution to distributing wine in the U.S. Our primary distribution warehouses in California and New Jersey are in close proximity to the major ports of Oakland and New York, with integrated container drayage services providing expedient and cost-effective transport from port to warehouse. Our warehouses may be used either together or individually in your national distribution strategy; both locations are easily accessible FOB points from which wholesalers all over the country pick up wine on a regular basis.

California Retail & Restaurant Deliveries
As a California wholesaler, we are able to organize shipment of wines directly to retail, chain and restaurant accounts in the state for portfolios who do not otherwise have a California wholesaler, allowing access to one of the largest markets in the country. Our California delivery warehouse provides next day delivery to the major metropolitan areas in the entire state, as well as regular deliveries to the outlying cities and towns.

New York/New Jersey Volume Retail Sales
We have a close relationship with a New York and New Jersey wholesaler that provides larger-quantity sales to retailers in these markets for portfolios who have a direct sales connection with retailers, or chain retailers, in these states.

Logistics & Administration

Foreign & Domestic Logistics Management
We have spent nearly twenty years managing logistics for our winery partners and building relationships with service providers along the way. We maintain an extensive network of partners in freight forwarding, warehousing, trucking (FTL and LTL), and other logistics services, selected with an eye towards the right combination of service and value. Our efficiencies as an organization, as well as our steady volumes, help us to negotiate favorable rates with our logistics partners – savings which we pass on to our portfolios. Effective logistics management comes down to experience and responsiveness. Our professional staff are skilled problem solvers, and with offices on both coasts we have staff available throughout the day to help troubleshoot any logistical issues that may arise – whether facilitating expedient release of wholesaler orders, arranging rush sample shipments for sales meetings, or liaising with freight forwarders and customs brokers to resolve import issues.

Full Container Loads & Ocean Freight
USA Wine West, LLC works closely with an international freight forwarder that specializes in wine transport to coordinate full containers, consolidated container loads (groupage) and airfreight shipments for importation from nearly any region of the world, at competitive and consistent rates.

Less than Container Load Shipping
USA Wine West operates its own, in-house consolidation service from several major wine producing countries, enabling our portfolios to supplement their full container business as needed to manage inventory levels and satisfy special orders. This service is more cost-effective than freight forwarder LCL programs and allows more flexibility and control to our portfolios.

Customs Clearance
Our San Francisco-based customs broker is an industry leader with over 150 years of experience. Whether the shipment arrives via ocean or air, in California, New York, Texas, Florida (or any other point of entry into the U.S.), their expertise and resources make 10 + 2 filing, FDA prior notice, customs clearance and freight release a seamless process.

Administrative Services
We provide comprehensive, efficient and tailored administrative services for all of our portfolios, focusing on the day-to-day details of the import and distribution business so they don’t have to. Our California office is the logistics center of our company, from which we process and invoice all wholesaler and retailer orders, manage inventory in multiple warehouse locations, arrange foreign and domestic freight service as well as import and customs clearance, and handle accounts receivable and collections. Our office in Maine manages accounts payable, including vendor and foreign supplier payments, along with a full range of compliance services, from label approvals to brand registrations to maintenance of federal and state licensing. For foreign wineries looking to establish a presence in the U.S., we provide critical “back office” support, as well as a centralized point of contact for suppliers, sales teams and customers. We manage the minutiae, helping our portfolios keep their eyes on the bigger picture of building a brand.

Compliance & Accounting

Federal & State Alcohol Compliance
The United States is the most complicated country in the world when it comes to the legal and regulatory issues surrounding the wine business. There are 50 states, plus the federal government — each with its own set of licenses, rules and procedures. Compliance issues can drastically slow sales and derail distribution programs if not handled properly. Accordingly, USA Wine West has channeled significant resources into its compliance department. We are knowledgeable, quick in turning around applications and paperwork, and thoughtful in the way we approach the compliance issues that will be faced.

We offer the full spectrum of compliance services, including:

Federal Certificates of Label Approval (COLAs)
State licensing and monthly tax and gallonage reports
State brand registrations
Appointment of state wholesalers
Permission letters for direct imports by state wholesalers
TTB sample waivers
State wholesale franchise issues
Trade name applications for integrated marketing strategies
Regulatory compliance is difficult, but we strive to make it understandable and to incorporate the process seamlessly into the distribution of wine, in a way that does not hold up or delay the sales and marketing program.

Accounts Payable
Our office manages accounts payable for foreign wineries with professionalism, transparency and ease. We track and pay all incoming bills — from ocean freight, Customs duties/taxes, and warehouse storage, to trucking, distributor bill backs, and sales commissions. We can prepare supplier payments promptly upon request in local or foreign currencies. We pride ourselves on being accurate, confidential, and flexible, tailoring our services to each individual portfolio. We are always available to discuss account expenditures and income, and can prepare supplier payments promptly upon request in local and foreign currencies.

Accounts Receivable
Our office works closely with wineries and their respective brand managers or brokers to monitor and regularly follow up with accounts to secure timely payment of invoices. Our state-of-the-art banking technology makes it possible for us to apply and deposit funds on a daily basis, generating accurate and up to date income reporting for portfolios.

Account Management & Reporting
By consulting closely with our portfolios over years, we have developed specialized software that not only enhances the efficiency of our operations, but also provides real-time access for our portfolios to all account information via our website. All details of distribution management are available 24/7 via a real-time link to our database. Portfolios see live inventory and pending sales, A/R, invoice detail reports, and have access to a fully functioning reporting system allowing up-to-the-minute data to be downloaded directly into spreadsheets or as static reports. Winery managers and sales representatives have full access to the information they need, when they need it.

About us

Company portrait

USA Wine West was founded in 1996 in Berkeley, California, to provide a new model of national wine importation and distribution to wholesalers in all 50 states. In the early days, the head of the company, Steve Melchiskey, worked extensively with a large Australian export group, as well as several south of France wineries that were leading what would eventually be the “rosé revolution.”

After several years in Berkeley and San Rafael, the company settled in Sausalito, California, where it has expanded its portfolios to include virtually every known wine-growing region of the world – from the Republic of Georgia, to Japan and Slovenia, throughout the classic European wine-producing countries and virtually all of the “New World” regions.

As the business grew to encompass a broad geographic range of wineries needing information and coordination, in 2001 USA Wine West opened a second office in Portland, Maine, thereby enabling better time zone communication with our European partners. The Portland office runs the compliance and accounting operations, along with the marketing assistance program. The Sausalito office remains the headquarters, managing all import and distribution logistics, customs clearance, order processing, accounts receivable, warehouse management and inventory control, and is able to communicate more efficiently with our New World portfolios – although both offices routinely work with wineries from all over the world.

Technological development has fueled USA Wine West’s success, enabling wineries from every time zone to have 24/7 live database access to information and reports via our website. In addition, the bi-coastal offices allow problems and issues to be addressed over a wide, 12+ hour work day. In our just-in-time world, the capacity to resolve issues and create solutions quickly is a necessity.

Now, with 14 employees in two offices, USA Wine West is considered to be the “go to” company for quality wine producers who want an innovative and effective solution for U.S. import and distribution. Whether it is a full container shipment ex-cellar to a Texas wholesaler, or mixed pallets to the Pennsylvania Liquor Control Board shipped from our FOB warehouses in New Jersey or California, USA Wine West provides a “one-stop shop” for suppliers from over twenty of the leading wine-producing countries in the world.
